How it works

Four steps from quote to signature

1 · Document

Upload the PDF or have it generated from your template. Place signature, date and text fields with a click – once for recurring documents, then automatically.

2 · Sending

The customer receives an email from your address with a personal link. No account, no app, no password.

3 · Signature

They read the document in the browser and sign – by finger on the phone, by mouse or typed at the desk. You countersign afterwards if you wish.

4 · Result

Both sides receive the signed PDF and the audit trail by email. The original stays in your platform, and in your filing system if you like.

Legal

When an online signature is valid

For the vast majority of business contracts a simple electronic signature is sufficient – just like a scanned signature, only with better evidence.

  • Suitable for quotes, order confirmations, service and agency contracts, maintenance contracts, data processing agreements, consents – everything for which the law does not require written form.
  • Evidence: the audit trail records who signed when and from which address, and that the document has not changed since (eIDAS Regulation, Art. 25: electronic signatures may not be denied legal effect).
  • Not suitable where the law prescribes written form – such as guarantees, termination of employment contracts or consumer loans under German law. Those need a qualified signature with identity check; we arrange it on request.
  • Tip: one sentence in the contract stating that electronic conclusion applies makes it clear for both sides. We supply the wording. This is not legal advice – if in doubt, ask your lawyer.

What clients want to know beforehand

Does my customer have to install anything?

No. They receive an email with a link, open the document in the browser and sign. On the phone this works with a finger.

Where are the documents stored?

On our servers at Hetzner in Nuremberg, backed up nightly. You receive a data processing agreement from us.

Can I use my own quote PDF?

Yes. Any PDF works, you place the fields with a click. For documents from a template we remember the field positions.

What if the customer does not sign?

You see in the overview whether the email was opened and can send a reminder. A document can be withdrawn at any time.

Can I use the platform for internal signatures too?

Yes, for example for staff agreements, minutes or approvals. Signers only need an email address.

What is the technology behind it?

DocuSeal, an open-source signature solution we run on our own servers. You pay no licence per document, but operation and support.
